Users & Roles
Invite teammates and decide what each of them can do.
Every Harmonia organization has at least one owner (you, when you signed up) and any number of additional team members. This page covers how to invite people, what each role can do, and how to remove access cleanly.
Roles
Harmonia uses three roles. They're intentionally coarse — most teams don't need finer-grained permissions, and complexity here usually creates more problems than it solves.

| Owner | Everything, including billing, plan changes, transferring ownership, deleting the org. |
| Admin | Configure the workspace — manage users, integrations, modules, branding, automations, pipelines. Cannot touch billing or delete the org. |
| Member | Use the CRM — contacts, conversations, opportunities, calendar, AI assistant. Cannot change settings. |
There can be many owners. Promoting a teammate to owner doesn't demote you. Demoting yourself to admin requires at least one other owner to exist.
Invite a user
Settings → Team → Invite user.
- Enter their email address.
- Pick a role.
- (Optional) Set a default landing page after they accept.
- Send the invite.
They get a one-click invite email. Clicking it takes them to a register-or-sign-in flow. If they already have a Harmonia account, accepting the invite simply adds them to your org. Otherwise they create an account and land directly in your org.
Invites expire after 14 days. Resend or revoke from the Team page.
Change a role
Find the user on the Team page, hit the role dropdown, pick a new role. Saved immediately. The change takes effect on their next page load — they don't have to log out and back in.
Remove a user
Hit the kebab menu next to their row → Remove from org. They lose access immediately. Any data they own (contacts they created, conversations they were assigned, opportunities, notes) stays in the org — ownership of created records doesn't transfer.
If you need to reassign their open conversations or opportunities to someone else, do it before you remove them. The user table on the Team page shows assignment counts per user — useful for spotting who has the heaviest workload before removing.
Multi-org users
A single Harmonia user account can be a member of multiple orgs. Switching orgs is one click in the topbar. Each org has its own role for that user — you might be an owner in your own org and a member in a client org.
When working in a client org, branding, modules, and data are scoped to that org. There's no cross-org data leak.
SSO
Single sign-on via Google Workspace, Microsoft 365, and SAML is available on the Agency plan and above. Configure under Settings → Authentication. SSO controls account creation only — role assignment still happens in Harmonia.
